The Coaching Business Playbook: Where Leads Actually Go to Die

Instagram DM — its own separate inbox 📷 Instagram DM "Loved the reel!" WhatsApp enquiry — different platform, no shared view 💬 WhatsApp "What's the price?" I built UrVerge because I kept meeting coaches, life coaches, business coaches, fitness coaches, who were genuinely great at their craft and genuinely struggling to convert the interest they were generating. The pattern was almost always the same. The marketing was working. Instagram reels were getting views, webinars were getting sign-ups, referrals were coming in. But somewhere between "someone showed interest" and "someone became a paying client," a huge chunk of that interest just disappeared.

This is not a marketing problem. This is a structure problem, and it shows up in almost every coaching business in nearly identical ways.

Gap 1: Leads scattered across four different channels with no single view

A coach today gets enquiries from Instagram DMs, WhatsApp, a webinar sign-up form, and sometimes a referral over a phone call. Each of these lives in its own separate place. There is no single view that says "here are all 60 people who are currently interested and here's where each of them stands."

What this costs you: leads get double-handled, someone from a webinar gets a generic DM reply that ignores what they already learned in the session, or worse, gets no reply at all.

Gap 2: No distinction between a cold lead, a warm lead, and a past client worth re-engaging

Most coaching businesses treat every name in their contact list the same way. But someone who attended a free webinar last week is a completely different conversation than someone who was a paying client eight months ago and simply finished their program.

What this costs you: coaches spend money running ads for new cold traffic while a warm list of former clients sits untouched, even though re-engaging them is almost always cheaper and faster than acquiring someone new.

Gap 3: Manual scheduling and follow-up eating into actual coaching time

I've spoken with coaches who spend a genuinely significant part of their day manually replying to "what times do you have available" messages, sending payment links one at a time, and chasing people who registered for a discovery call but never showed up.

What this costs you: the highest-value hours in the business, the coach's own time, get consumed by admin work instead of coaching, content creation, or closing new clients.

What closing these gaps actually looks like

Why this matters more for coaching than most other businesses

Coaching is a relationship-driven business built on trust, and ironically, that's exactly why the admin side needs to be handled by a system rather than memory. A missed follow-up in coaching doesn't just lose a sale, it can genuinely damage the coach's credibility, since the entire pitch is built on being present and reliable.

A missed follow-up in coaching doesn't just lose a sale, it can genuinely damage the coach's credibility.

I have enterprise CRM development experience, and one thing that stands out when I look at coaching businesses is how much of this problem enterprise sales teams already solved years ago, just packaged in tools that were never priced or designed for an independent coach running their business solo or with a small team.

If your enquiries are spread across Instagram, WhatsApp, and a webinar tool with no single view of where anyone actually stands, that's precisely the kind of setup I look at on the free strategy call, no pitch, just an honest look at where leads are currently slipping through.
